General Data Protection Regulation and Declaration of Consent

In using this website, you are deemed to have read and agreed to the Terms of Use presented below. All attendees, speakers, sponsors and volunteers at our conference are required to agree with the following code of conduct. The organizers will enforce this code throughout the event. We are expecting cooperation from all participants to help ensure a great environment for everybody.

AWS Community Day Romania is taking place in Romania and is organized by THEHUB.EVENTS S.R.L. All further references to the event from this document will be done through the legal organizer of the event, THEHUB.EVENTS S.R.L.

This document sets out the terms and conditions between THEHUB.EVENTS S.R.L. and you when you purchase a ticket or register for any event or conference or participate in any survey organized by THEHUB.EVENTS S.R.L. By purchasing a ticket or registering for an event or conference organized by THEHUB.EVENTS S.R.L. or participating in a survey you are agreeing to comply with and be bound by the following requirements and also to the requirements that you can find in the code of conduct. You should read this document carefully. THEHUB.EVENTS S.R.L. reserves the right to change the information from this code of conduct at any time. Any amended information from the code of conduct will be posted to this website. Please consult this page regularly.

Declaration of Consent
I hereby give my consent for THEHUB.EVENTS S.R.L. to collect, process and use my personal data for the purposes of processing the purchase of my ticket and for any other use to which I have consented. I hereby give my consent for the mandatory and voluntary data collected from me in the course of purchasing and/or registering for tickets sold by THEHUB.EVENTS S.R.L. I further give my permission for my user account details to be stored. I acknowledge that I may provide THEHUB.EVENTS S.R.L. with a reasonable timeframe to remove my details at any time that I no longer wish to be stored. I acknowledge and accept that my data will be used for commercial purposes in accordance with this General Data Protection Regulation and Declaration of Consent and will be retained and stored for this purpose.
Should you wish your data to be removed you must request THEHUB.EVENTS S.R.L. to do so in writing, showing the necessary documents that attest your identity in regard to the request. Requests will be processed within a 30-day period after being emailed to contact@aws-community.ro. All ticket prices are displayed in RON, with VAT included. Early Registration discount prices, Regular Registration and Late Registration fees apply if online registration and payment is completed before midnight on the specified dates that you can find on the website before starting to purchase your ticket. The purchase is done using the bilet.ro platform. Confirmation of your registration for the event will be sent to you via email by THEHUB.EVENTS S.R.L. or bilet.ro platform once full payment has been received. This e-mail will also have attached your tax invoice. All tax invoices will be sent only by email by automatic software according to Romanian laws. Please check your attachments and if you cannot find all the details needed, please contact us at contact@aws-community.ro.

Ticket Registration
I hereby give my consent for THEHUB.EVENTS S.R.L. to use for the purposes of processing complimentary or otherwise ticket registration the mandatory data and any voluntary data I provide when registering a complimentary admission ticket. I further give my consent for the voluntary data provided. I acknowledge and accept that my data will be used for commercial purposes in accordance with this General Data Protection Regulation and Declaration of Consent and will be retained and stored for this purpose.

By purchasing a ticket for our event and offering it as a gift to another person, the buyer assumes full legal responsibility for the accuracy and security of the personal data entered in connection with the person to whom they are gifting the ticket. The buyer guarantees that they have obtained the explicit consent of the recipient for the processing and use of their personal data in accordance with the General Data Protection Regulation (GDPR). If the personal data of the recipient is used without their consent, the buyer will be responsible for any legal consequences arising from this action. The event organizers do not assume any responsibility for the personal data provided by the buyer and for how these data are obtained or used. If the person receiving the gift does not agree to have their data processed by us, they are requested to contact us at contact@aws-community.ro, provide proof of identity, and we will delete their personal data from our database within 30 days.

Online Surveys
I hereby give my consent for THEHUB.EVENTS S.R.L. to store any voluntary information I may provide in the course of participating in an online survey. I acknowledge and accept that my data will be used for commercial purposes in accordance with this General Data Protection Regulation and Declaration of Consent and will be retained and stored for this purpose. We would like to mention that the surveys we have in mind are about data regarding the events for the AWS Community such as AWS Community Day Romania and User Group Meetups and events that we plan to gather under the umbrella of AWS Community Day Romania. 

Use of personal data for advertising purposes 
THEHUB.EVENTS S.R.L. will not sell your name, address, e-mail address, credit card information or personal information to any third party. By registering at the event you consent that your profile will be visible in the website backend platform that facilitates communication, messages and business meetings setup before and throughout the event. 
I hereby give my consent for THEHUB.EVENTS S.R.L. to store the following types of data as a profile for internal purposes:

  • Mandatory and voluntary data was collected when purchasing tickets.
  • Mandatory and voluntary data were collected when registering a complimentary admission ticket as well as the date of the ticket registration.
  • If I have provided my email address, I consent to THEHUB.EVENTS to contact me in relation to events for which I am purchasing a ticket or registering an expression of interest.
  • I furthermore consent to the mathematical and statistical analysis of my personal data for advertising purposes scoring. However, my e-mail address may be used for advertising purposes only with my express consent.
    Accordingly, I give my consent for THEHUB.EVENTS S.R.L. to collect data relating to me personally from public domain sources and to store these along with my personal data that are already under the control of THEHUB.EVENTS S.R.L. I give my consent for THEHUB.EVENTS S.R.L. to analyze this newly collected data together with the data already under their control and to use the same for the purpose of targeted advertising communications to me on relevant topics and products in connection with trade fairs and/or exhibitors of interest.
  • I acknowledge that I may be photographed or filmed by THEHUB.EVENTS S.R.L.’s official photographer and/or cameraman and I consent that my image can be used in promotional or event-related materials by THEHUB.EVENTS S.R.L.

Right of Access
You have a right to be given a copy of any of your personal data held by THEHUB.EVENTS S.R.L. in accordance with the   Data Protection Acts subject to certain exceptions. Requests for a copy of your personal data can be emailed to contact@aws-community.ro, showing the necessary documents that attest to your identity in regard to the request.

Right of Rectification or Erasure
If THEHUB.EVENTS S.R.L. holds incorrect information about you which was originally submitted by you through this website, you have the right to have the data amended. Further, you have the right to have any information you have sent to us via this website erased. To request your right to rectification and/or erasure please send your request to contact@aws-community.ro. 
Please note that in case of erasure you will be requested to prove that the rectification and/or erasure are made for your personal information only and not another person. Requests should include:

  • Showing a document that attests that your identity (name, address etc.)
  • A description of the specific personal data you wish rectified
  • Please note that THEHUB.EVENTS S.R.L. is not required to rectify or erase your data where doing so would prevent you from meeting your contractual obligations to THEHUB.EVENTS S.R.L. or where THEHUB.EVENTS S.R.L. is required to process (including retaining) your personal data for a lawful purpose in accordance with the Data Protection Acts.

Security
The security of your Personal Information is important to us. However, no method of transmission over the Internet, or method of electronic storage, is 100% secure. Therefore, while we strive to use commercially acceptable means to protect your Personal Information, THEHUB.EVENTS S.R.L. cannot guarantee its absolute security and cannot accept any liability where the security of your Personal Information is compromised. The security of your personal information is important to us. When you enter sensitive information (such as credit card number) on our registration or order forms, we encrypt that information.

THEHUB.EVENTS S.R.L. reserves the right to modify this General Data Protection Regulation and Declaration of Consent at any time. Any changes will be posted on our home page and other places we deem appropriate so that you are aware of the changes.

Refund and Cancelation Policy
All purchases of tickets for conferences and events are non-refundable in their entirety. In the unlikely event of cancellation of a conference or event, the liability of THEHUB.EVENTS S.R.L. is limited to the share of paid registration fees that remains after credit card and payment processing fees have been incurred and deducted.
It is strictly forbidden for any company, organization or attendee to attempt to host or organize any event in conjunction with, contiguous to or purporting to be related to AWS Community Day Romania or any of the events organized under the AWS Community Day Romania Umbrella or its affiliates without the express prior permission and co-operation of THEHUB.EVENTS S.R.L.
The tickets purchased are for your own personal use or that of your business only and may not be re-sold or transferred for commercial gain under any circumstances, including but not limited to use as part of any promotion or competition. Where there has been any resale or attempted resale of any tickets (or any other breach of this term), we reserve the right to cancel the relevant tickets with immediate effect.

We reserve the right to cancel any ticket purchase made by any person or body whom we reasonably believe to be associated with any ticket broker.
THEHUB.EVENTS S.R.L. reserves the right to refuse admission to any event or conference for any behaviour, which it deems unacceptable, or for breach of the terms and conditions and the code of conduct.
THEHUB.EVENTS S.R.L. will not be responsible for any tickets that are lost or stolen. The unauthorized use of photographic and recording equipment at events and conferences is prohibited. You consent to film and sound recording as attendees at any event or conference.
THEHUB.EVENTS S.R.L. will not be liable for any loss injury or damage to any person or property howsoever caused (save for death or personal injury as a result of THEHUB.EVENTS S.R.L.’s negligence or for any other type of liability that cannot by law be excluded or limited.)
Name changes will be facilitated free of charge up to 7 days prior to the commencement of the event. For questions about registration or assistance with any registration problems, please contact us at contact@aws-community.ro.

Event Cancelation, Postment & Substitution Policy
THEHUB.EVENTS S.R.L. is not responsible for any loss or damage as a result of a substitution, alteration, cancellation or postponement of an event. THEHUB.EVENTS S.R.L. shall assume no liability whatsoever in the circumstances that an event is cancelled, rescheduled or postponed due to a fortuitous event, Act of God, unforeseen occurrence or any other event that renders performance of an event impracticable, illegal or impossible. For purposes of this clause, a fortuitous event shall include, but not be limited to: war, fire, labour strike, extreme weather, pandemic or another emergency.

Please note that while speakers and topics are confirmed at the time of publishing, circumstances beyond the control of the organizers may necessitate substitutions, alterations or cancellations of the speakers and/or topics. As such, THEHUB.EVENTS S.R.L. reserves the right to alter or modify the advertised speakers and/or topics if necessary without any liability to you whatsoever. Any substitutions or alterations will be updated on our web page as soon as possible.

Once a successful purchase transaction has been completed, tickets are delivered in electronic softcopy via email to the email address nominated by the purchaser. For some ticket types, it may be necessary to complete required information - such as attendee name - before the tickets can be issued. The ticket acts as a receipt for the transaction and can be used to redeem entry at the event listed on the ticket. A printed hard-copy ticket or an electronic soft-copy ticket detailing the reference number can be used to register at the event.

Romanian law governs these terms and conditions, and any disputes are subject to the exclusive jurisdiction of the Romanian Courts.
